Importing Data to EEXAR



Data can be gathered through various sources such as, extracting an ERP database, collecting from trade shows and campaigns, and so on. Importing products from such external sources to EEXAR is one of the most important products creation activities in any business as well as a crucial first input of data. For that reason, importing should be easy and should help you maintain clean data without duplicates.

You can import your data using either of the two options mentioned below:

Importing data to EEXAR using XLS/ZIP : XLS files can be imported, one at a time, to a specific Product Folder.
Connecting to an external application using EEXAR Public API :  EEXAR Public API enables you to connect to an external system via API keys generated directly from your account.

Super Admin can access EEXAR API.
Internal Users with Products creation permission in their group can access XLS/ZIP import.

Import Checklist

Before importing the data, please go through the following checklists:

For Products:

  1. Permission
    Make sure you have the access and privilege to create Products. If you do not have this permission, the Import link will be hidden in your user interface.
  2. File Format 
    The supported format is XLS.
    Unexpected errors may occur if the XLS file contains any special controls such as combo filters or images embedded in them. We recommend using the EXCEL template we generate for you and simply upload it, more about the template later in this article here.
  3. Characters not allowed
    Any data for the file to be imported should not contain data enclosed in <script> </script>.
  4. Mandatory Fields 
    Each required (mandatory) field must contain a value. Make sure you do not leave any mandatory fields blank, in the import file. For instance, when you are importing products information, each product record must include a Product name . Please note that you cannot proceed to the next step without mapping the mandatory fields.
  5. Drop-down List 
    All data values displayed in the drop-down lists must exist in the corresponding EEXAR fields.
    For instance, if you plan to import product information that contains a value for the Qualification type drop-down list, before you import the product information, make sure all the Qualification types values in the source file already appear in the drop-down list. If the values do not exist, you must either change the values in the source file to match the existing values in EEXAR, or have your Super Admin add the new values.
    If values are not added in the drop-down list, data can still be imported. After importing, the values that did not exist will simply not be treated by the system and the field will remain blank.
  6. Field Names 
    Make sure the first row of data (records) in the source file contains the headers or field names rather than the actual data values. These headers values help identify the data when you map the new data to the existing fields in EEXAR.
  7. External field
    Any field present in the .XLS file can be mapped with an external field present in EEXAR.

For Media:

  1. File types supported
    The supported file types are MP4, MOV, PNG, JPEG, JPG, FBX and OBJ.

   2. ZIP format
        The ZIP file format should be respected more details here.

Note:
Using the Import feature, you cannot import users, projects and reports into EEXAR.

Import Data to EEXAR

Import Products

  1. Click the Products section
  2. Select the relevant Product Folder.
  3. In the left panel, click New .

  4. Click EXCEL Import and choose the file to upload.


   5. The system will check your file.
   6. Click the icon to start the import.

Note:
  • The fields are case sensitive. That is, if the unique field's name in the import file is "ABC" and in the existing record, it is "abc", EEXAR will not be able to indentify the records as being a match. Therefore, will tell you the field doesn't exist or in the case of categories will create a new category name "abc" even though "ABC" already exists in the system.
  • Once the Import process begins, you cannot cancel it.
  • Default field values cannot be specified for the following fields:
    • Product name

    • Reference

    • Category

  • Assigning default values for a field that is already mapped, will overwrite the existing field mapping that you have done.

Use the EXCEL template

On the EXCEL upload panel, EEXAR let's you download an EXCEL template that you can use to correctly format the data to import. It provides hints and examples of data generated based on the fields and configurations of your domain. Simply follow the instructions and examples of the file, save it and upload it.
      1. Click on .
      2. Open the .XLS file.



      3. Edit it.
      4. Save it.

Note:
The system will check your file once you upload it and tell you the potential errors it contains.

Import Media

To take most advantage of EEXAR, it is important that your products have some enriched content to be showcased. Instead of adding each media one by one to each product, EEXAR also lets you mass import Media and associate them directly to their corresponding products.

You can overcome this hassle by using the Import Media feature offered by EEXAR.

To import Media

  1. Prepare your ZIP file with your media for each product. Make sure you have one folder for each product and that the folder is named with the reference of the product concerned. Each folder should contain the media specific to one product (see screenshots below).



   2. Go to Media and select the folder you need to upload Media to.
   3. Click the Upload button in the left panel.

4. Select the relevant ZIP file .
5. Click the icon.

Note:
  • You can arrange the order in which the Media are going to be displayed in the caroussel by adding a prefix to the name of the file containing the number of the position. We suggest using the following format: "position_file name". For example, if you want the media named "television.png" to be displayed before the media named "newspaper.mp4", then you should use "1_television.png" and "2_newspaper.mp4" as file names inside the ZIP file.
  •  FBX and OBJ files are supported inside Media mass import, but OBJ packages need to be zipped inside the ZIP used for Mass Media upload.
  • Once the Import process begins, you cannot cancel it.
